How do I navigate the vendor dashboard?

Welcome to the Chowdeck Vendor Dashboard Tour and User Guide!

This article walks you through the Vendor Dashboard, covering how to log in and how to navigate and use each section available to vendors.

Whether you’re a new user or looking for a refresher, this guide will help you make the most of the platform, streamline your operations, and enhance your overall experience.

How do I log in to the vendor dashboard?

Visit https://app.chowdeck.com to go to the login page. Enter your correct email and password to log in to your account.

How do I reset my password on the vendor dashboard?

To reset your password:

  1. Go to the login page and click on the Forgot password link or visit https://app.chowdeck.com/forgot-password

  2. Enter the email address you used during registration, and click on Get password reset link.

  3. If the email was used in registering for the account, you will get a reset link to reset your password.

    Check your email inbox for the link. Click on it and enter the new password. If you don’t receive the password reset link, you can send a message to [email protected], and we’ll generate a new password reset link for you.

How do I navigate the dashboard?

After logging in, you land on the Overview page. Use the menu icon in the top-left corner to open the navigation drawer, which gives you access to every section of the dashboard: Overview, Orders, Menu, Inventory, Reporting, Customers, Payouts, Events, Transactions, Marketing, and Wallet.

Your business name and profile icon are shown in the top-right corner. Clicking on this opens a menu where you can toggle “Open store” to open or close your store for orders, and access Profile, Settings, Switch Business, or Log out.

What does the Overview page show?

The Overview page displays a Revenue chart alongside Average Order Value and Average Unit per Sale. You can filter the data by Today, This week, This month, or a custom date range, and further filter by Locations, Order status, and Currency.

How do I manage my orders?

The Orders page lets you filter orders using status tabs: All Orders, Pending, Preparing, Awaiting Pickup, On its way, Completed, Scheduled, On-Demand Delivery, Refunded, and Rejected. You can also search by order ID, filter by date and location, and export orders to a file.

How do I manage my menu?

The Menu section lets you organize Items, Categories, and Packs. Item-level options are reported to now be organized under separate Modifiers, Add-ons, and Options tabs, with a new Chowsmart tab for selling meals at a discount.

On the menu page, you can see the list of menu items, add and update menu food items, mark menu items as in stock or out of stock, and publish or delete them.

To add a new menu item, click on the "Add new item" button, fill out all the required fields, and submit the form. To edit a menu item, click on the item you want to edit and update.

How do I manage my Menu Categories?

To manage menu categories, navigate to the "menu categories" tab. On the Menu categories tab, you have the following options:

  1. Add a new category

  2. Update an existing category

How do I manage my Modifiers and Add-ons?

Modifiers and Add-ons

Modifiers and Add-ons are customizable options that can be applied to an item when ordering. They are optional.

To manage modifiers and add-ons, navigate to the "Modifiers or Add-ons" tab. On the Menu options tab, you have the following options:

  1. Add a new modifier or add-ons

  2. Update an existing modifier or add-ons

Option Items

To manage menu option items, navigate to the "Option item" tab. On the Option Items tab, you have the following options:

  1. Add a new Option item

  2. Mark an option item in stock

  3. Update an existing Option item

How do I create a new option item from an existing menu item?

  1. Click on the "Add option item" button.

  2. In the form, navigate to the "Create from existing menu items" section and select a menu item to create it as a menu option item.

Note: You cannot update an option item that was created from an existing menu item. To update it, you need to update the menu item itself.

How do I manage packs (containers)?

To manage packs, go to the "Packs" tab. On the packs tab, you will find the following options:

  1. Add a new pack

  2. Update an existing pack

How do I manage inventory?

Inventory is a new section covering Inventory valuation, Inventory history, Inventory count, Purchase orders, Transfers, Vendors, and Receive stock, giving you visibility into stock levels, cost, and potential profit for each item.

How do I view reports?

Reporting replaces the old live metrics section. It includes End of day (a sales summary and end-of-day report), Sales report, and Product Report, each with location and date filters and export options.

How do I manage customers?

A searchable list of your customers, showing their name, masked email address, masked phone number, and date of last purchase. You can filter by date, location, or staff, add a new customer manually, and export the data. A separate Customer Reviews tab shows individual order-level reviews (rating, order ID, and comment) alongside an overall rating summary — average score, total ratings, and a star-by-star breakdown (5-star to 1-star).

How do I manage my payouts?

The Payouts section is organized into three tabs, each with date and status filters, and the option to export the data.

History

Shows a full record of your completed and pending payouts, with the following columns.

Top ups

Shows any manual payments Chowdeck has credited to your account for an order — for example, when an issue with an order is resolved by crediting you directly rather than through your regular payout cycle. If you haven't received any, this tab will show "You have no top-ups listed".

Refunds claims

Shows claims raised when a customer reports a missing item from their order, organized into three tabs: New, Ongoing Dispute, and Resolved. If there are no claims, this tab will show "No refund claims.

Each with status and date filters and the option to export.

How do I manage events?

Events is a new section for creating and managing events. It has tabs for All Events, Awaiting Approval, Rejected, Published, Drafts, and Ended, plus a “Create event” button for submitting new events for approval.

Where can I see my transactions?

The Transactions section shows a log of payment transactions, filterable by payment method and date.

How do I use the marketing tools?

Marketing is a new section with two live tools to help you promote your store: Discounts and Advertising.

1. Discounts

Create discount codes or automatic discounts that customers can apply to their orders. To create one, tap Create a discount and fill in:

A live preview on the right shows exactly how the discount banner will look to customers before you publish it.

2. Advertising

Run paid campaigns to increase your store's visibility across four tabs:

  • All Campaigns — shows your active and past campaigns. Use Create new campaign or Place a bid to start one.

  • Advertising Credits — tracks any bonus ad credits you've been given: available, used, and expired balances. Credits are applied automatically before your wallet balance, and each credit has its own expiry date, so it's worth using them before they lapse.

  • Invoices — a record of your advertising charges.

How do I use my Wallet?

The wallet shows your balance and pending balance and lets you Send Money or Create a Pocket. You can filter transactions by type and class, download statements, and view your linked bank account details.

What you see on the main screen:

  1. Available balance — your current wallet balance

  2. Pending balance — funds that are incoming but not yet cleared. The amount is not yet available for withdrawal.

  3. Inflow / Outflow — a quick summary of money coming in vs. going out, filterable by Transaction Type and Transaction Class

  4. Bank name & Account number — your dedicated virtual account (e.g. Paystack-Titan). This is a real bank account tied only to your wallet — anyone can send money directly to it and it reflects in your wallet automatically

  5. Download statement — export your transaction history for your records

  6. Send Money — Lets you move funds out of your wallet to a personal bank account.

  7. Create Pocket — Pockets let you set aside money for a specific purpose, separate from your main wallet balance. You can have up to 3 pockets at a time. The first pocket type available is the Relay Pocket, which keeps all Relay-related charges and balances isolated from your everyday wallet funds. This matters because:

    • If you use Relay and carry a running balance from it, that debt sits in the Relay Pocket instead of dragging down your main wallet.

    • Each pocket gets its own dedicated virtual account, just like your main wallet — you can fund a pocket directly by sending money to its account number.

    • Settling what you owe is as simple as topping up the pocket directly — no separate invoice process needed.

How to get a link to visit my store

This is a quick link that opens your store's live profile on the Chowdeck web, exactly as customers see it. You can share this link directly with customers so they can jump straight to your store instead of searching for it every time they want to order — handy for social media, WhatsApp broadcasts, or anywhere else you promote your business.

How do I manage my settings?

Settings has moved under the profile dropdown in the top-right corner. From there you can manage

1. Profile — View your personal account details:

  • Name, email, and phone number — these are not editable after your account is created. Make sure they're entered correctly during registration, since there's no self-serve way to change them afterward. (If a genuine correction is needed, that would have to go through support rather than this screen.)

  • Password — change your login password by entering your current password and a new one (minimum 8 characters).

  • PIN Code — set up a PIN via Add PIN, or use Reset PIN if you've forgotten your current one. This is separate from your login password — used for confirming sensitive in-app actions.

2. Business Information — Manage your store's public and legal details:

  • Logo & Store cover image — the images customers see on your store listing.

  • Business Name, Email, Address, Country, Phone Number — your core business details.

  • Business Description — a short summary shown to customers.

  • Business Type / Sub Type — your store category (e.g. restaurant, local-market, supermarket).

  • Tier — your ChowPass tier (Basic, Premium, or Agba), tied to your commission rate.

  • Commission — your current commission percentage.

3. Order & Delivery — Manage how orders reach you and when you're open:

  • Set preparation time — how many minutes it typically takes you to prepare an order.

  • Fulfilment type & Order type — configure how orders are fulfilled (e.g. tagged as "Instant or pick up").

  • Minimum order amount — the smallest order value customers can place with you.

  • Opening and Closing Time — toggle each day on/off and set your open/close hours individually, or use Use default to apply one schedule across the week.

  • Preorder Configuration — set which days you accept preorders, your cut-off time (the latest a customer can place a preorder), and your menu ready time (the earliest time a customer can place a preorder).

4. Payout Account — Choose where your earnings settle, and manage the bank account they're sent to.

  • Set Settlement Preference — two toggles let you choose where your earnings go:

    • Payout account — sends your earnings to your bank account.

    • Wallet — sends your earnings to your in-app wallet's available balance instead. Only one can be active at a time.

  • Add account — if you haven't linked a bank account yet, this screen shows "You have no payout account yet." Tap Add account to add one, so we know where to send your payouts if you choose the Payout account option.

5. Staff — Add and manage team members on your account, assign roles (e.g. Admin, Store Manager), and control what each person can access — this is what determines whether someone can see the Wallet, Developer Settings, etc.

6. Locations — Manage all your outlets from one account. Click Create new location to add another branch — useful for vendors running multiple stores under one business.

7. Audit Logs — A record of every change made on your account, so you can track who did what and when, especially useful with multiple staff members.

  • Action — describes what was changed (e.g. "Vendor Update," which covers edits to your store profile/business info).

  • Updated by — the name of the staff member who made the change.

  • Date — when the change was made, down to the exact time.

  • Filter by — narrow the log by action type: Vendor update, Menu update, Menu category update, Menu group update, Menu group item update, or Vendor profile. You can also filter by a specific date range with Select Date.

This is a genuinely useful tool for accountability — if a menu item's price or a store setting changes unexpectedly and you're not sure who did it, this is the first place to check. It's also worth pointing new team members to when they're added under Staff so they understand their actions are logged.

8. Developer Settings — For vendors integrating with Chowdeck via API (e.g. syncing orders with your own POS or website).

This is where you get your merchant reference and API key, and set your webhook URL to receive real-time order status updates.

10. Devices — Manage devices linked to your account, such as POS terminals or handheld scanners used for in-store order management.
